This notice explains what happens to information you share with GIST VINE.

Maiark Limited operates GIST VINE and is responsible for deciding how personal information collected through this pilot is used.
What we collect
- Your written response or voice recording.
- Optional topic choices added to a GIST Trends response.
- Your first name, age range, age in years, gender, country, state, county or province, town or city, email and phone number, when you choose to provide them with a response.
- Your town or city and conversation preferences when you register for a live conversation.
- Feedback about why you decided not to share.
- Your consent choices and the date and time of your submission.
- Basic technical and security information needed to operate and protect the site.
Open questions can invite personal experiences. Please avoid naming other people or sharing highly sensitive information unless it is genuinely necessary.
Why we use it
- To understand what people are experiencing and connect recurring themes.
- To produce anonymous What We Heard learning.
- To contact you about live conversations or future learning when you ask us to.
- To understand what makes participation easier or harder.
- To keep the platform secure and respond to privacy requests.
Our lawful reasons
We rely on your consent to use contributions and optional contact details for the purposes explained when you submit them. You can withdraw that consent. We rely on legitimate interests to secure and improve the service, and on legal obligations when handling information-rights requests.
Who can see it
Authorised GIST VINE team members can review raw submissions. Trusted service providers host and secure the platform on our behalf. We do not sell personal information.
We may share anonymous themes and summaries. We will not publish your name, email address, phone number or identifiable voice recording without additional permission.
Where it is stored
The pilot uses OpenAI Sites hosting with Cloudflare-backed database and file storage. These providers may process information in countries outside the UK under the safeguards that apply to their services.
How long we keep it
We review identifiable pilot information at least every 12 months and delete or anonymise it when it is no longer needed for the conversation, follow-up or legal obligations. Anonymous themes and learning may be kept for longer because they no longer identify participants.
Your choices and rights
Depending on the circumstances, you may ask us to give you a copy of your information, correct it, delete it, restrict its use or transfer it. You may withdraw consent or object to some uses.
